DNS forms the central routing tables that make the Internet work. Therefore, in order for External IT to process your organization's email, your domain's DNS entries need to point to our server farm. Our request, which must be verified by you, asks for all incoming mail related to your domain name (yourcompanyname.com) to be sent to the mail servers at the External IT Data Center. Once you accept the change, it typically takes 24 hours for a DNS change to propagate across the Internet. During this time, your existing email system is left in place until the change is complete. Once complete, all of your email will arrive through External IT. Then, your existing email system can be disabled.
Oftentimes, a 24-hour propagation time is not permissible within the migration plan. In these situations, alternative methods can be used in order to eliminate this delay.
